Workplace Coordinator – Be the face of our office!

We’re now looking for a Workplace Coordinator to join our team at Nordnet’s headquarters in Stockholm. In this role, you'll take ownership of the day-to-day operations in our front desk and office environment. You will be part of our Workplace Team and report to our Head of Workplace Experience – working closely with internal stakeholders to ensure a high-quality experience across the office.
This is a one-year temporary position (parental leave cover) starting August 1st, 2025.
About the role
As Workplace Coordinator, you will be the first point of contact for guests, employees, and vendors. You’ll coordinate everything from office access and deliveries to catering, event support and light admin tasks. You'll collaborate through channels like Slack, Workplace email, and our Jira ticketing system to ensure incoming requests are handled quickly and professionally.
Key responsibilities:
- Welcome visitors and employees, manage front desk and create a warm, professional first impression
- Handle internal requests via Jira, Slack, and Workplace email
- Manage office access cards and in/out pass statistics
- Order catering, flowers, and home office equipment as needed
- Support with light administrative tasks, such as scanning NDAs and compiling visitor statistics
- Coordinate and assist with internal events and meetings
- Handle incoming and outgoing mail and deliveries
- Keep shared spaces organized and ensure supplies are stocked
- Be acentral point of contact for vendors and service providers
Who you are:
- Service-minded with a "nothing is too small" mindset
- Organized, structured, and able to juggle multiple tasks at once
- Confident using digital tools and platforms (Slack, Google Workspace, Jira, etc.)
- Fluent in Swedish and English, both spoken and written
- Previous experience from a similar role in a fast-paced environment is a plus
